These Terms & Conditions set out how Strata Executives (“we”, “us”, “our”) provides chauffeur and private-hire services, and what applies when you (“you”, “your”) make a booking with us.

By booking with us, you accept these Terms & Conditions.

1. About Strata Executives

Strata Executives is a Cambridge-based chauffeur service. We provide pre-booked private-hire transportation, including executive travel, airport transfers, corporate chauffeur services, hourly chauffeur hire, event chauffeur services and wedding chauffeur services.

2. Bookings

Book every journey in advance. We confirm a booking once we accept it and, where applicable, you receive confirmation of the journey details and price.

We may contact you to confirm booking details before accepting it. If inaccurate information affects the service, we may apply additional charges where reasonably incurred.

3. Quotations and Prices

We base the price we quote on the journey details you give us at enquiry or booking.

Your quote may change if you later change the journey, for example by:

We will tell you about any additional charges before they apply, wherever practical. Where we have agreed a price in writing for a specific journey, we will honour that price as long as the journey details stay the same.

4. Payment

We confirm payment arrangements at the time of booking.

We may ask for payment or a deposit before the journey, particularly for long-distance journeys, events, weddings, corporate bookings or short-notice bookings. Where we require payment in advance, we do not treat the booking as confirmed until we receive it.

For corporate customers, separate payment and invoicing terms may apply where we agree them in writing.

You remain responsible for any additional charges properly incurred on your booking.

5. Cancellation and Amendments

If you need to cancel or amend a booking, contact us as soon as possible using the details in your booking confirmation.

We will tell you about any cancellation charges at the time of booking or in your confirmation, and we consider each cancellation charge in light of the circumstances and applicable consumer law.

If you amend a booking, the original price may no longer apply where the change materially affects the journey or vehicle needed.

Nothing here restricts any statutory rights you have.

6. Airport Transfers and Flight Delays

Where you give us accurate flight details, we monitor your flight and adjust the collection time where practical.

Flight monitoring does not guarantee we can avoid additional waiting or charges if your flight is delayed, diverted or cancelled. If that happens, contact us as soon as possible.

Where a disruption outside our control leads to extra costs, we explain any charges before asking for payment, wherever practical.

7. Pick-Up and Waiting Time

Be ready at the agreed pick-up location at the agreed time. For airport collections, we will tell you about any designated meeting point or meet-and-greet arrangement that applies.

If you are not at the agreed location, your chauffeur will make reasonable efforts to contact you. If we cannot reach you or you do not appear within a reasonable period, we may treat the journey as a no-show, subject to the circumstances and your booking terms. We will explain any waiting or no-show charges as part of your booking arrangements.

8. Journey Time and Traffic

We make reasonable efforts to arrive and complete journeys on time. However, several things outside our reasonable control can affect journey times, including:

We cannot guarantee an exact arrival time where these circumstances affect your journey. Allow enough time when travelling to airports, stations, meetings, events or other time-sensitive destinations.

9. Vehicle Substitution

We aim to provide the vehicle you booked. Where circumstances outside our reasonable control mean we cannot, we will provide a suitable alternative of comparable specification, subject to availability, and tell you if a materially different vehicle is needed, wherever practical.

10. Passenger Numbers and Luggage

Confirm accurate passenger numbers and luggage amounts when you book. Each vehicle has a set passenger and luggage capacity, and we cannot exceed its safe or legal limits.

If you arrive with more passengers or luggage than the vehicle can safely or legally carry, we may need to amend the journey or make alternative arrangements. Any additional costs from material changes to your booking may be payable by you.

11. Child Seats and Special Requirements

If you need a child seat, booster seat, wheelchair accessibility or another special arrangement, tell us when you book, and we will confirm whether we can accommodate it. Do not assume specialist equipment will be available unless we have specifically agreed and confirmed it in advance.

12. Passenger Conduct

We expect passengers to treat chauffeurs, other passengers and property with respect. We do not permit:

Where passenger conduct creates a genuine safety risk, the chauffeur may stop in a safe location and end the journey where reasonably necessary. You may be responsible for reasonable costs arising from deliberate damage, excessive soiling or other loss caused by your conduct, subject to applicable law.

13. Alcohol and Prohibited Items

Follow applicable laws on alcohol and prohibited items. Your chauffeur may refuse to carry anything they reasonably believe is illegal, dangerous or likely to create a safety risk, and you must not place the chauffeur, vehicle or other passengers at unreasonable risk.

14. Driver and Vehicle Safety

The chauffeur’s first responsibility is the safe operation of the vehicle. Follow reasonable safety instructions from your chauffeur, wear a seat belt where the law requires it, and do not interfere with the vehicle’s operation.

A chauffeur may decline to carry a passenger or continue a journey where doing so would be unlawful or create a significant safety risk.

15. Lost Property

If you leave an item in a vehicle, contact us as soon as possible. We make reasonable efforts to locate and return lost property where practical, but we cannot guarantee recovery. Where we recover an item, we agree return arrangements with you, and reasonable delivery or postage costs may apply.

16. Personal Belongings

You are responsible for your personal belongings and luggage during the journey. Keep valuable items, important documents and personal possessions secure and do not leave them unattended. Nothing here excludes liability where the law prohibits such an exclusion.

17. Service Standards and Delays

We aim to provide a professional, reliable and discreet chauffeur service, and we use reasonable care and skill when we do. However, we are not responsible for delays, missed connections, missed flights, missed appointments or other consequences arising from circumstances outside our reasonable control. Nothing here excludes or limits liability that the law does not allow us to exclude or limit.

18. Events Outside Our Control

We are not responsible for failing to provide, or delaying, a service because of circumstances beyond our reasonable control, including:

20. Corporate Accounts

Where we provide services to a business or corporate customer under a separate account agreement, the terms of that agreement may supplement or replace parts of these Terms & Conditions. If a written corporate contract conflicts with these Terms & Conditions, the corporate contract takes precedence to the extent of the conflict.

21. Third-Party Services

Where we arrange or use third-party services or suppliers to fulfil a booking, we take reasonable care in selecting them. Where a third party is independently responsible for part of a service, their own terms may also apply.

22. Website Information

We make reasonable efforts to keep the information on our website accurate and current. Vehicle availability, service descriptions, photographs, specifications and other content may change from time to time, and nothing on our website guarantees that a particular vehicle or service will be available for every booking.

23. Intellectual Property

Unless stated otherwise, the content of the Strata Executives website, including text, branding, graphics, photographs and other materials, belongs to or is licensed to Strata Executives. Do not reproduce, copy, modify, distribute or commercially exploit our website content without our prior written permission, except where the law permits it.

24. Privacy

We collect and process personal information in line with our Privacy Policy. We may use personal information to process bookings, communicate with customers, provide services, handle enquiries and meet legal or regulatory obligations. Our website may link to third-party websites. We provide these links for convenience, and they do not mean we endorse or take responsibility for the content, availability or privacy practices of those sites.

26. Limitation of Liability

Nothing here excludes or limits liability where the law does not allow it, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability the law does not allow us to exclude or limit.

Subject to that, we are not responsible for losses that are not reasonably foreseeable or that arise indirectly from your use of the service. Where you are acting as a consumer, nothing here removes or reduces your statutory rights.

27. Consumer Rights

If you are a consumer, you have legal rights in connection with the services we supply, and we provide our services with reasonable care and skill, subject to applicable law.

Nothing here excludes, restricts or overrides rights the law does not allow us to exclude or restrict. Where you book online or otherwise at a distance, applicable consumer protection requirements apply.

28. Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes to our services, legal requirements or business practices. The version that applies to your booking is generally the one in effect when we accept it, unless the law requires otherwise or we agree something different with you.

29. Severability

If any part of these Terms & Conditions turns out to be invalid, unlawful or unenforceable, we treat that part as modified or removed to the minimum extent necessary, and the rest continues to apply.

30. Governing Law and Jurisdiction

English and Welsh law governs these Terms & Conditions. Where you are a consumer, nothing here removes any mandatory legal protection available to you under the law that applies to your circumstances. Subject to your consumer rights, the courts of England and Wales have jurisdiction over any dispute arising from these Terms & Conditions.
